    Types of E-Invoice Format

    There are mainly two types of e-Invoice formats: E-Invoice with compliance and E-Invoice without compliance. Below is an overview of both types of e-invoice formats and under what conditions these formats are used:

    Process e-invoice without compliance:

  • An e-invoice without compliance can only be issued when the supplier and buyer agree on its format and contents.
  • The data will be entered into the e-invoice format using technologies like Electronic Data Interchange (EDI) or a common web form for e-invoicing.
  • An electronic invoice is created and sent from the supplier's Accounts Receivable system or website.
  • As soon as the buyer gets the e-invoice, it is ready for the accounts payable system to process.
  • Process E-Invoice with compliance:

  • E-Invoice with compliance means the buyer and seller had to follow the e-invoice format as determined by the legislature and laws of the territories where both parties are doing business.
  • Governments mainly control e-invoices through government-specified portals for validation, non-repudiation, and security of the e-invoice.
  • Obtaining invoices for auditing purposes is very easy under such conditions.
  • This process eliminates the use of paper.
  • Both e-invoicing with and without compliance is beneficial for businesses in their own way. But ultimately, the compliance approach will facilitate an organization's regulatory obligations and offer various advantages in the longer run. In India, the Goods and Services Tax (GST) law regulates e-invoicing under GST to ensure all businesses are compliant when it comes to invoicing norms.

    How to Generate an E-Invoice Using Format?

    A taxpayer can rely on invoicing software or an ERP system with a dedicated invoicing function to generate e-invoice formats. In both these cases, creating and generating an e-invoice generally involves the following steps:

    Register on the GSTN portal:

    Businesses with annual turnovers over Rs. 50 crore must register on the GSTN portal before generating e-invoices.

    Generate E-Invoice:

    Once you have registered on GSTN, you can generate e-invoices by following the steps below:

  • Log in to the GSTN portal and navigate to the 'E-Invoice' section.
  • Enter the details of the invoice, such as invoice number, date, seller details, buyer details, item details, and tax details, in the prescribed format.
  • Validate the invoice details by clicking on the 'Validate' button. The portal will verify the data and display any errors or warnings that must be corrected.
  • After validation, click the 'Generate IRN' button to generate the invoice's unique Invoice Reference Number (IRN). As soon as you choose all the options above, raise the invoice on the relevant ERP GST or billing software. Using a JavaScript Object Notation (JSON) file, an application, or a direct Application programming interface (API), you can upload the invoice details, especially those related to compulsory fields, to the Invoice Registration Portal (IRP). The portal will also generate a QR code containing the essential invoice details.
  • Save the e-invoice in the prescribed format, a JSON file, and share it with the buyer. Taxpayers can also select the option to print their GST e-invoice format with logos.
  • Share the E-Invoice:

    Once generated, you can share it with the buyer through email, the GSTN portal, or any other electronic mode. Taxpayers can only report invoices electronically on IRP using the electronic-invoicing system.

    In addition, the e-invoicing, its authentication, and validation of critical B2B invoice details will also be handled by the IRP. In addition to SMS-based and mobile app-based interactions with IRP, there are other modes as well.

    To ensure there are no duplicates, you can generate a reference number for the invoice. A total of four parameters are used to generate IRN: Invoice number, Seller Goods and Services Tax Identification Number (GSTIN), document type, and financial year in the required date format.
